Privacy Policy

In short: Swybee exists to run your business operations, not to trade in your data. We collect what we need to provide the service, we don't sell your personal data, your customers' data stays yours, and you can ask us to show, correct, or delete what we hold. Questions any time: hello@swybee.ai.

1. Who we are

Swybee ("Swybee", "we", "us") operates the swybee.ai website and the Swybee application — The Operational AI for manufacturers, boutiques and shopkeepers ("Services"). This policy explains how we handle personal data when you visit our website, sign up, or use the Services. It is designed to meet the requirements of India's Digital Personal Data Protection Act, 2023 (DPDP Act) and, where applicable to users outside India, other applicable privacy laws.

By using the Services you agree to this policy. If you do not agree, please do not use the Services.

2. What we collect

Information you give us

Account details — name, phone number, email address, business name, business type, and address when you register or contact us.
Business content — the data you put into Swybee to run your business: inventory and stock records, invoices, orders, expenses, P&L entries, designs, fabrics, patterns, photos you upload, catalogs, vendor lists, and employee records.
Your customers' data — names, contact numbers, order history, measurements, and similar records you add about your own customers. You are responsible for having the right to share this data with us (see Section 5).
Communications — messages you send us on WhatsApp, email, or through forms on the website.
Payment information — processed by our payment providers. We receive confirmation of payment and billing details, not your full card or banking credentials.

Information collected automatically

Usage data — features used, actions taken, and time spent, so we can improve the product.
Device and log data — IP address, device type, operating system, browser, and crash logs.
Location — only where a feature needs it (for example geo-assisted employee punch-in) and only with the relevant person's consent.

3. How we use your information

To provide, operate, and secure the Services — billing, inventory, design tools, production tracking, marketing tools, and the Swybee AI agent.
To generate the outputs you ask for — GST-ready reports, purchase orders, patterns, try-on renders, forecasts, and campaign drafts.
To send service messages (invoices, alerts, reminders) through the channels you've connected, including WhatsApp.
To respond to support requests and improve reliability and performance.
To send you product updates or offers — only where permitted, and you can opt out at any time.
To comply with law, including tax and accounting obligations.

We do not sell your personal data.

4. AI features

Swybee's AI features (for example trend replication, pattern generation, try-on, forecasting, and the AI agent) process the content you provide in order to produce results for you. AI outputs are generated automatically and can be inaccurate or incomplete — review them before acting on them, especially financial and compliance outputs. For our current practices on whether any of your content is used to improve our models, contact hello@swybee.ai; we will not use your confidential business content to train models offered to other customers without your consent.

When you store your customers' personal data in Swybee, you act as the data fiduciary for that data and we process it on your instructions to provide the Services. You confirm that you have obtained any consent or given any notice required by law before adding a person's data to Swybee, and that marketing messages you send through Swybee comply with applicable law and platform rules (including WhatsApp's business messaging policies).

Service providers — cloud hosting, payment processing, messaging (including the WhatsApp Business platform operated by Meta), analytics, and customer support tools, bound by contracts to protect your data.
Legal requirements — where required by law, regulation, legal process, or to protect the rights, safety, or property of Swybee, our users, or the public.
Business transfers — if Swybee is involved in a merger, acquisition, or asset sale, data may transfer with the business, subject to this policy.

Some service providers may process data outside India. Where they do, we take steps to ensure protection consistent with this policy and applicable law.

7. Your rights

Subject to applicable law (including the DPDP Act), you can:

Access a summary of the personal data we hold about you;
Correct or update inaccurate or incomplete data;
Request erasure of your personal data once it is no longer needed for the Services or required by law;
Withdraw consent, where processing is based on consent;
Nominate another person to exercise your rights in case of death or incapacity;
Raise a grievance about how your data is handled.

To exercise any of these rights, email hello@swybee.ai. We respond within the timelines required by law. If you are not satisfied with our response, you may escalate to the Data Protection Board of India as provided under the DPDP Act.

8. Data retention

We keep your data for as long as your account is active and as needed to provide the Services. After account closure we delete or anonymise personal data within a reasonable period, except records we must keep for legal, tax, accounting, or dispute-resolution purposes. You can export your business data before closing your account by contacting us.

9. Security

We use industry-standard safeguards — encryption in transit, access controls, and monitoring — to protect your data. No system is perfectly secure, so please use a strong password and keep your login credentials private. If we become aware of a personal data breach affecting you, we will notify you and the authorities as required by law.

10. Cookies

Our website uses cookies and similar technologies that are necessary for the site to function and, where enabled, to understand aggregate usage so we can improve it. You can control cookies through your browser settings; blocking essential cookies may affect how the site works. We will ask for consent before setting any non-essential cookies where the law requires it.

11. Children

The Services are meant for business use by adults. We do not knowingly collect personal data from anyone under 18. If you believe a minor has provided us personal data, contact us and we will delete it.

12. Changes to this policy

We may update this policy as the Services evolve. We will post the updated version on this page with a revised "Last updated" date, and for material changes we will notify you in the app or by the contact details you've given us.
